What I do with your details

This website, The Roadmap, the Plan Builder and my coaching are run by Coach Ciaran Limited, a company registered in England and Wales. Company number 17447824. Registered office: Suite 5 IDB House, 70 Savile Street East, Sheffield, S4 7UQ.

I decide what happens to your details, so in law I am the data controller. If you have any question about your details, email me at coachciaran@coachciaran.com.

When you use The Roadmap, two different things happen.

• Your email address is sent to my email list on Mailchimp, so I can send you emails. That is the only thing The Roadmap sends to me.
• Your answers (height, weight, job, the pictures you pick, your old diets, the safety questions and your food choices) stay on your phone. They are saved in your browser and in the link to your plan so it opens again when you come back. They are not sent to me and I can’t see them.

Anyone you share your plan link with can see your plan. To clear your answers, tap Start again, or clear the website data for The Roadmap in your browser settings.

When you use the Plan Builder at plan.coachciaran.com, two different things happen.

• Your first name and email address are sent to my email list on Mailchimp, so I can send you emails. That is the only thing the Plan Builder sends to me.
• Your answers, your plan and the sets you log stay on your phone. They are saved in your browser so your plan and tracking are there when you come back. They are not sent to me and I can’t see them.

Clearing the website data for the Plan Builder in your browser settings deletes your plan and your logged sets.

If you give me your email on this website, in The Roadmap or in the Plan Builder, I add it to my list. I use it to send you emails about training, food and my coaching.

Every email has an unsubscribe link at the bottom. Click it and you’re off the list straight away. You can also email me and I’ll take you off.

The legal reason I can do this is your consent, which you give when you put your email in. You can take it back any time by unsubscribing.

If you message me on Instagram or WhatsApp, or email me, I see what you send and use it to reply to you. Those messages are kept by Instagram and WhatsApp (both owned by Meta) or by my email provider under their own privacy rules.

Payments go through Stripe. Stripe handles your card details. I never see your full card number. I keep a record of what you paid and when, because the law says a company has to keep its financial records.

To coach you I need details about your body and your health. That means things like your weight, your measurements, your progress photos, your check-ins, your training, what you eat, and any injuries or medical conditions you tell me about.

Some of this is health information, which the law treats as extra sensitive. I only use it with your clear consent, and only to coach you. I never share your photos or results publicly unless you’ve said yes to it in writing. You can change your mind about that any time.

Your check-ins and plans are kept in the coaching app I use, which stores them for me under a contract.

I don’t sell your details to anyone. These companies store or process them for me:

• Mailchimp (owned by Intuit) runs my email list.
• Vercel hosts this website, The Roadmap and the Plan Builder.
• Stripe takes payments.
• My coaching app provider stores client check-ins and plans.
• Google and rsms.me supply the fonts on these pages, so your browser asks them for the font files.
• cdnjs (run by Cloudflare) supplies the tool the Plan Builder uses to make your PDF, so your browser asks it for that file when you download your plan.

Some of these companies store data in the USA. When that happens they use the legal safeguards UK law requires for sending data abroad.

This website doesn’t use advertising or tracking cookies. The Roadmap saves your answers in your own browser so your plan opens again. The Plan Builder saves your plan and logged sets in your own browser in the same way. That’s all they’re used for.

• Your email stays on my list until you unsubscribe.
• Client coaching records are kept while you’re a client, then deleted when you ask me to.
• Payment records are kept for six years, because the law requires it.

You can ask me to:

• show you what details I hold about you
• correct anything that’s wrong
• delete your details
• stop using your details for a reason you object to
• send your details to you or someone else in a format you can use

If you’re not happy with how I’ve handled your details, you can complain to the Information Commissioner’s Office at ico.org.uk.

If I change this page, the date at the top changes with it.
